The main role of an Administrator is to provide administrative support, ensuring that an office or specific department runs smoothly and efficiently.
Although responsibilities will vary, the role of an Administrator will normally include the following:
- Typing correspondence
- Database maintenance
- Organising paperwork and implementing systems and procedures
- Managing incoming and outgoing post
- Taking and redirecting calls or managing the switchboard
- Scheduling meetings, diary management
- Carrying out other administrative tasks, including photocopying, faxing and ordering stationery
What skills are required?
- Knowledge of MS Office
- Good communication skills
- Being organised & methodical
What are the prospects like?
- Progression into a Secretarial, PA or Office Manager role is common.
Secretarial
A Secretary will usually provide administrative support and services to Senior Executives, ensuring that the office runs smoothly and efficiently.
Main responsibilities include:
- Organising and operating the office filing system
- Typing correspondence and other documents
- Managing diaries, working closely with other Secretaries
- Taking incoming calls and assisting where possible
- Scheduling meetings and diary management
- Administration including photocopying, faxing and ordering stationary

PA work can be fast paced and rewarding, often offering a challenging and varied role.
A Personal Assistant (PA) will normally provide support and guidance to a senior executive or company director.

- Answering calls and assisting where possible
- Responding to email enquiries
- Taking minutes
- Booking travel arrangements
- Running professional and personal errands
- Liaising with clients and suppliers
- Managing expenses
- Assisting in confidential matters

- The ability to prioritise and multi task, using your own initiative
- Advanced knowledge of MS Office suite
- Exceptional organisational skills
- Fast and accurate typing
- Ability to work well under pressure in a demanding environment
