Trainee Business Administrator

We are looking to recruit a trainee for our client in Leatherhead,  a charity who are going growing. The role is to provide support to all members of staff and provide a professional service to clients.

Job Description:

• Providing a professional reception service to all staff and visitors
• Responding to queries and where required taking messages or transferring calls
• Responsible for the end to end process of archiving for the office
• Managing the office post, including franking, opening the post and passing to colleagues
• Manage the online meeting rooms bookings including visitor parking and hot desks
• Responsible for stationary stock, monitoring levels to be ordered in time to meet need.
• Support with recruitment, maintain Jobs inbox and sending out applications forms
• Recruitment pack as requested by potential candidates and arranging interviews
• Preparing and providing interviews packs to hiring managements
• Support with pre-employment checks, take and verify copies of identification for DSB purposes
• Support with sickness absence management and highlight to HR Manager
• Data entry on absence spreadsheet of sickness certificates and/or doctors notes
• Preparing induction packs for new starters
• Providing all new staff and current staff with up to date ID badges
• Ordering staff uniforms, coordinate and monitor of staff uniforms and updating spreadsheet
• Setting up meeting room during induction week and for the two monthly board meeting
• Undertaking Project work as required by the line manager to include developing and maintaining spreadsheets containing data to be monitored.

Person Specification:

• Previous office experience is preferred
• Polite and courteous telephone manner and face to face
• Good team player and able to support the team during times of increased pressure
• Professional and willing to learn about the business needs and requirements
• Good IT skills including excel

Additional Information:

• Based in Leatherhead
• £16,000
• Monday – Friday, 9am – 5pm
• 20 days plus bank holiday, increasing to 25 after 5 years of service
• Pension scheme
