This role has overall responsibility for running, maintaining and daily updating of the Companies Service Routing System.
This system is used to schedule all work done by the 10 Service drivers on behalf of the Company; each client has a specific service schedule based on the frequency on their contract e.g. monthly, fortnightly, weekly or a combination of these and the Systems Co-ordinator will be expected to ensure the smooth running of these schedules.
It is imperative that the daily schedule for each driver is set up to minimise travel time between sites thereby ensuring maximum efficiency, but also incorporating specific client requirements around times of service.
Monitoring the completion of scheduled jobs on a daily basis is a key part of the role and communicating any non-completion or anticipated non completion of scheduled jobs to the Operations Manager would be essential.
There are many changes to contracts around service requirements on a daily basis and ensuring these are managed and updated in a timely manner is imperative to maintain our responsibilities under the contracts we have with our clients.
With the introduction of new clients these new contracts would need to be added to the routing system and this will require the Systems Co-ordinator to manage their inclusion to maximise efficiency, while also ensuring the allocated Service Driver can manage the additional work and maintaining a fair spread of work between the Drivers.
The production of monthly reports showing the performance of the Company against the scheduled work will be required.
The role will require the Systems Co-ordinator to achieve a complete understanding of the Routing System to ensure the company is making the best use of the system and should recommend any changes required to achieve this
This position requires an individual who is methodical, highly organised, disciplined and has a good knowledge of Excel ; above all this role requires someone who is very proactive and has a desire to ensure the systems the company operate are being used to their maximum capabilities. If this is not the case then the individual would be expected to explore alternatives and put forward suggestions to achieve this.
Being able to work in a team environment and communication are essential attributes.
