The overall aim of this Function is to provide frontline support to the customer base and Regional Offices.
The aim is to maximise customer satisfaction, by having an efficient and caring attitude and to ensure that all customer orders are despatched in a timely and efficient manner.
Specific key result areas include minimising overall shipping costs and ensuring effective communications between assembly/ despatch, overseas offices, and the end customer, and also to provide key analysis on the shipping department.
Preparation of all necessary export and import documentation daily.
Liaising with worldwide distributors, agents, and overseas offices
Ensure that all telephone/ email/ fax requests are promptly and efficiently actioned, providing for the customer any information they require.
To develop competence in the use of the IFS business system, and to use the system to provide quick and accurate information at the first time of asking.
Ensuring that goods are shipped to customers on a regular basis to meet their delivery requirements, and to work with customer’s requirements to consolidate orders to reduce freight costs incurred by them. Liaise with production regularly on shipping schedules to meet customer’s needs.
To regularly monitor freight costs, to ensure prices are competitive and to receive competitive Air/ Sea/ Courier quotes for each order which is not on an Ex-Works basis and responsible for negotiation of contracts annually with some of the worlds largest courier Companies.
Maintain close liaison with freight forwarders/ shippers/ chamber of commerce in order to keep abreast of current rules and regulations relating to export business and arrangements of shipments in accordance with these rules.
Keep abreast of current practice regarding documentary credits as they apply to the Company’s export business and ensure compliance with them.
To ensure that invoices are created and despatched in a timely manner ensuring that customer documentary requirements are fully complied with.
To organise returns from customer when requested.
To assist in the development and monitoring of key performance indicators to ensure that the key processes are properly controlled, and helping to make improvements where possible.
