Working in a small team at the heart of the Pensions Administration department, you will provide vital support to our client teams by performing key systems related tasks, to help give their pension scheme clients the best possible service.
Duties
The tasks the team carry out are many and varied, but would typically include:
preparing data for and running/checking bulk updates
preparing and loading documents to our systems and websites
security administration
administering automated flows
policing how users are using systems.
running and collating regular and one-off reports
systems testing technical user support, managing queries, resolving, or escalating problems.
Ad hoc tasks and projects
Key Requirements
Excellent organisational skills – both personally, such as showing ability to work effectively under one’s own initiative and with minimal supervision, and within a team setting by knowing the current position of various tasks and projects being undertaken by others; alerting others as early as possible when target dates are at risk – good communication skills, written and oral, are vital. Some knowledge of pension scheme administration would be preferential – however, a willingness to take an interest and learn about the department and the business is more important.
In providing support, all members of the team must work together to track, update and manage calls to resolutions and escalating when necessary manage regular communications with client teams regarding updates to calls.
Ensure requests are managed and resolved within agreed service level targets.
Verify user satisfaction before resolving problems and requests
Good knowledge of Microsoft office products, in particular Office 365 Word / Excel / Outlook / Microsoft Teams)
Ability and willingness to follow processes, maintain documentation and create an audit trail of work carried out.
Awareness of the importance of the General Data Protection Regulations and how to apply them
A full understanding of office procedures – e.g. time recording, answering telephones, timekeeping, absences etc
Other Qualities, Requirements and Expectations
Educated to ‘A’ level, degree level or equivalent.
Thorough, with close attention to detail.
Ability to work alone but to be a strong team player who is able to cope with multi-tasking and fluctuating short – notice workloads – the ability to organise and manage one’s own workload is vital.
Able to maintain a high standard of professionalism at all times with the ability to demonstrate good organisational, analytical and communication skills and able to use their own initiative.
Flexibility of hours worked/duties undertaken, committed, willingness to assist others where necessary to ensure deadlines are met.
Create good working relationships with colleagues on the client teams, across both offices and have the confidence to liaise, negotiate and chase others where necessary at all levels.
Some travel to the other office will be necessary.
Be involved in efficiency drives, always looking for improvements in processes and documentation, and consider the best way to deliver a good service.
Be willing to become involved in departmental initiatives and projects that benefit the pensions administration department – for example help in delivering training sessions.
Be able to effectively communicate to users what is feasible and realistic.
Assist users positively; continually educate them to flag issues and requests well in advance, and also understand what support the helpdesk can provide (users sometimes do not request what they actually need or understand the wider implications)
An understanding of the importance of confidentiality.
